Algophile ("we", "us", or "our") operates an AI-powered document knowledge base service.
This Privacy Policy explains what personal data we collect, how we use it, and your rights
regarding that data. By using Algophile, you agree to the practices described here.
2. Information We Collect
Account Information:
- Email address (from Google OAuth or direct registration)
- Your name (from Google OAuth or direct registration)
- Username, job title, company, phone, and address (if provided in your profile)
Usage Data:
- Files you upload for processing (PDF, DOCX, TXT, CSV)
- Questions you ask and AI-generated responses
- Login activity, timestamps, and session identifiers
Technical Data:
- IP address (recorded in server request logs for security and diagnostics)
- A session cookie required to keep you signed in
3. How We Use Your Information
- Service Delivery: Process your documents and provide AI-powered question answering
- Account Management: Maintain your user profile and authentication
- Security: Monitor for unauthorized access and protect your data
- Service Improvement: Analyze anonymized usage patterns to improve the product

4. Data Storage and Security
- Encryption at rest: All uploaded files and database records are encrypted at rest using industry-standard AES-256 encryption
- Encryption in transit: All data transferred between your browser and our servers is encrypted using HTTPS/TLS
- Authentication: Passwords are stored using strong one-way hashing and are never stored in plain text. Session tokens are cryptographically signed and validated on every request
- Access control: Access to production systems is restricted to authorized personnel only. Storage and database systems are not directly accessible from the public internet
- Hosting: Our services run on reputable cloud infrastructure with industry-standard security controls
- No third-party data sharing: Your data is never sold or shared with third parties for advertising or marketing purposes
5. Data Retention

You can delete individual files, your entire data history, or your full account at any time
from within the application.
6. Google OAuth Data
When you sign in with Google, we receive and store:
- Your email address
- Your first and last name
This data is used solely for account creation and authentication. We do not store your
Google profile picture, and we do not request access to your Google Drive, Gmail, Contacts,
or any other Google services.
7. Cookies
Algophile uses session cookies strictly required for authentication and maintaining your
login state. We do not use advertising or tracking cookies.
8. Your Rights
You have the right to:
- Access: View the list of your stored files (file names and details), your Q&A history, and your profile information
- Correct: Update your profile information at any time
- Delete: Remove individual files, your full data history, or your entire account
- Export: Contact us to request a copy of your personal data

9. Third-Party Services
To operate Algophile, we rely on trusted third-party providers for:
- Cloud hosting and storage — for running the service and storing your data securely
- AI processing — your document content and questions are processed by a managed cloud AI provider to generate responses. This provider does not use your content to train its models
- Authentication — Google OAuth, if you choose to sign in with Google
Each provider operates under its own privacy policy and data processing agreement. We select
providers that maintain industry-standard security and privacy practices.
10. Children's Privacy
Algophile is not directed at children under 13. We do not knowingly collect personal
information from children. If you believe a child has provided us with personal data, please
contact us so we can delete it.
11. Changes to This Policy
We may update this policy from time to time. When we make material changes, we will update
the "Last Updated" date at the top of this page. We encourage you to review this page
periodically. Continued use of the service after changes constitutes acceptance.
